This policy explains what personal data we collect through allbase.co.uk, why we collect it, how we use and share it, how long we keep it, and the rights you have.

Who we are

Allbase Group Ltd ("we", "us", "our") is a company registered in England and Wales (company number 09611962), with its registered office at 10 Cliff Parade, Wakefield, West Yorkshire WF1 2TA. We are the controller of the personal data described in this policy. We are registered with the Information Commissioner's Office (ICO) under registration number ZC111360.

What we collect

We collect data you give us directly and a limited amount collected automatically when you use the site.

When you make an enquiry or request a quote, we collect your name, email address and company name, the details of your enquiry, the product, material or service it concerns, and anything else you choose to include.

When you register for an account, we collect your name, email address, company name and account password.

When you book a consultation, we collect your name, contact details and the information you provide about your requirements and preferred time.

When you use the solar quote tool, we collect the property postcode and address, the building and roof details you enter, and the building outline used to estimate the result. This is stored with your enquiry so we can follow it up.

Automatically, we collect limited technical data such as your IP address and basic device and browser information, and cookie data as described in our Cookie Policy.

Why we use it

We use your data to respond to and manage your enquiries, quotes and bookings, and to provide the services you ask for. The lawful basis is usually that the processing is necessary to take steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries.

We use it to operate and secure the website, and to understand and improve how it is used. The lawful basis is our legitimate interest in running and improving our service, and, for analytics, your consent.

We use it to send you service-related communications about your enquiry, account or booking, to comply with our legal obligations, and to establish, exercise or defend legal claims.

The intelligence features

Parts of the site use AI to help match materials, summarise information and support enquiries. Where your enquiry text or related information is processed by these features, it is handled by our processor for that purpose only and is not used to train third-party models.

Who we share it with

We do not sell your personal data. We use a small number of trusted service providers to run the website and deliver our services, for example to host the site, store our data securely, send the emails you receive from us, power the address and mapping features in our quote tools, and provide the AI features that help with enquiries and material matching. These providers act only on our instructions and only for the purposes described in this policy.

With your consent, we use Google Analytics (GA4) to understand how the site is used; this involves data being processed by Google.

Some of these providers are based outside the UK. Where your data is processed outside the UK, we make sure it is protected by appropriate safeguards, such as UK adequacy regulations or standard contractual clauses.

We may also share your data where we are required to by law, or where necessary to protect our rights, property or safety.

How long we keep it

We keep enquiry, quote, booking and solar-tool data for up to 24 months after our last contact with you, unless it relates to an order we fulfilled, in which case we keep the records needed for tax and legal purposes for 6 years. We keep account data while your account is active and for up to 12 months after it is closed. We keep anything we are legally required to retain for as long as the law requires.

Your rights

Under UK data-protection law you have the right to access the personal data we hold about you, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to certain processing, and to data portability. Where we rely on consent, you can withdraw it at any time.

To exercise any of these, contact privacy@allbase.co.uk. We may ask you to verify your identity, and we will respond within one month as required by law.

You also have the right to complain to the ICO (ico.org.uk) if you are unhappy with how we have handled your data, though we would ask you to contact us first so we can try to put things right.

We may update this policy from time to time. The current version is always the one published on this page, with the date shown at the top.
